The One Health Trust (OHT) seeks a Deputy Administration Officer to provide comprehensive administrative, human resources (HR), financial, and operational support. This role is essential to ensure the efficient functioning of OHT’s offices and programs, requiring close coordination with teams in India and the United States. This is a full-time position based in Bangalore, India.

About This Job

Daily and Ongoing Responsibilities 

  • Provide day-to-day administrative support to ensure smooth and efficient office operations.
  • Maintain and organize company records, files, and documentation systems in a structured manner.
  • Manage office supply inventory, including procurement and timely replenishment.
  • Oversee office operations, including maintenance of facilities, infrastructure, and technology systems.
  • Schedule meetings, coordinate internal communications, and manage conference room bookings.
  • Plan and coordinate internal and external meetings, workshops, and events.
  • Coordinate domestic and international travel arrangements, including tickets, accommodation, visas (if required), and local transport.
  • Support HR initiatives, including the implementation of policies and employee engagement activities.
  • Develop, review, and update standard operating procedures related to HR, finance, and administration.
  • Provide administrative guidance and management information support to research and program teams.
  • Ensure compliance with required national and state certifications, policies, and regulatory guidelines.
  • Support financial management processes, including preparation and monitoring of office budgets and expense reports.
  • Track expenditures and ensure adherence to approved budgets.
  • Verify invoices, bills, and supporting documents prior to processing payments.
  • Manage petty cash and maintain accurate financial records and reconciliations.
  • Coordinate bank-related activities and assist with basic account handling functions.
  • Support procurement processes, including vendor identification, quotation comparison, and purchase coordination.
  • Maintain vendor relationships, including contract negotiation and service agreements.
  • Monitor vendor performance and follow up on payments to ensure quality and compliance.
  • Perform additional administrative duties as required, supporting both India and U.S. offices.

Required Skills and Qualifications 

  • Bachelor’s degree in administration, management, commerce, or a related field
  • A master’s degree in a relevant field is an added advantage
  • Four to eight years of experience in administration, office management, or a related role
  • Strong organizational and multitasking skills, with the ability to manage competing priorities
  • Experience with financial administration, budgeting, and expense tracking
  • Proficiency in spreadsheets and standard office software
  • Excellent written and verbal communication skills
  • Familiarity with HR processes, policies, and compliance requirements
  • Strong interpersonal, coordination, and vendor management skills
  • Ability to work independently and handle confidential information with professionalism and integrity

Reporting 

The Administration Officer will report to the Senior Administration Officer at the One Health Trust.
